The sample pack

Everything below is invented — Juniper & Jam Face Painting, its painter Maya and every number are a made-up example so you can see the shape. Your pack is written from your own rates and rules, and nothing beyond them.

Piece 1 · the quote email

Face painting for the Maple Fair — quote

Hi Dana — thank you for asking about face painting for the Maple Fair on Saturday, June 14.

For an event like yours my rate is $95 an hour with a three-hour booking. I paint 10–12 faces an hour, so three hours covers about 30–36 children; for your expected 50 we'd want four to five hours, which I'd quote at $95 an hour as well. The rate includes setup, all designs, paints and cleanup — I bring everything except a table, two chairs and shade.

A $50 deposit holds the date; the rest is due on the day, by cash or card. Travel inside Columbus is included; beyond that it's 50c a mile each way.

If that works, reply with the hours you'd like and I'll send the booking confirmation. — Maya, Juniper & Jam Face Painting

Piece 2 · the client info one-pager

Face painting with Juniper & Jam — how it works

  • Pace: 10–12 faces an hour. A line forms fast — a numbered-ticket roll (I bring one) keeps it fair.
  • Ages: 3 and up paint best; younger children can have a quick arm design instead.
  • On site I need: a table, two chairs and shade (or an indoor corner). I bring everything else.
  • Setup: I arrive 20 minutes early; setup and cleanup are inside the booked hours' price, not the clock.
  • Weather: for outdoor events, see the rain words in the booking confirmation.
  • Booking: $50 deposit holds the date; the rest is due on the day.
Piece 3 · booking confirmation + deposit words

You're booked — Saturday, June 14

“This confirms face painting at the Maple Fair, Saturday June 14, 11am–3pm, at $95 an hour. Your $50 deposit is received and comes off the total; the remaining $330 is due on the day. The deposit holds your date — if the event cancels outright, it isn't returned, but it moves free to a new date within six months.”

Piece 4 · reschedule, rain and cancellation words

“Rain plan: if the fair moves indoors, I set up wherever there's a corner and light. If the date itself moves, your deposit moves with it — one free reschedule within six months, subject to my calendar.”

“If you need to cancel within 7 days of the event, the deposit is kept; before that, it moves to a new date.”

Piece 5 · reply snippets

“Can you do it cheaper?” — “My rate covers professional paints, insurance and about 36 painted kids over three hours. What I can do is trim the booking to two hours, which brings it to $190.”

New-customer wording — “First booking with me? I take $15 off the first invoice — same rate next time, so no surprises.”

From tip jar to a fee — “I've moved from tips to a flat event rate, so hosts know the cost up front and no child needs cash in hand.”

Piece 6 · the booking-request question list
  • Date, hours, indoors or out?
  • Roughly how many children, and what ages?
  • Is there a table, two chairs and shade, or should I note my own canopy?
  • Festival, private party or company event — and is there a budget cap I should quote inside?
  • Who confirms and pays the deposit — you, or a committee?

With every pack: the tidy list — what was used, what was left out and why — and numbered questions for anything your notes left unclear. One free round of changes within a week.
